Opportunity Finder
Overview
The Opportunity Finder is a feature inside Kasper that helps your front desk team quickly identify the right patient to fill open gaps in the daily schedule — before that chair time goes to waste. The Opportunity Finder replaces all of the manual work of generating lists with a smart, real-time view of your schedule and a ranked list of patients who are ready to come in.
How It Works — The 3-Step Workflow
Step 1 — Spot the Gap
Open the Opportunity Finder in Kasper and navigate to the date you want to fill. All operatories are displayed side-by-side, with open gaps highlighted automatically. Hover over a gap to see which treatment groups are most commonly performed in that operatory.
Step 2 — Select a Treatment Group
Click one or more treatment groups (e.g., Crowns, Fillings, Hygiene Recall, Root Canals). The system immediately surfaces a ranked list of patients who have those treatments planned and are ready to schedule. The list is ordered by a smart score — not random — so the best patient candidates appear at the top.
Step 3 — Review, Filter, and Schedule
Review the suggested patients, apply filters to narrow results, click a patient to see their full details, then schedule directly from the tool. The appointment is automatically added to your Open Dental schedule — no double-entry needed.
Understanding the Smart Score
Every patient in the results list is assigned a score. This score determines the order in which
patients appear — higher scores mean this patient is most likely to schedule

- Treatment Plan Status
Always start by calling the highest-scored patients first. The score is designed to maximize your chance of filling the gap quickly with the most valuable, reliable appointment possible.
Using Filters
After selecting a treatment group, you can fine-tune your patient list using the filter panel. Filters help you match the right patient to the specific constraints of the open slot.
- Procedure Time : Filter to only show procedures that fit within the maximum available time.
- Fee Range / Minimum & Maximum Fee: If you want to prioritize high-production appointments for the opening.
- Insurance Carrier / Benefits Remaining: The operatory or provider is in-network with specific carriers, or you want patients with remaining benefits.
- Last Visit Date: To confirm the patient is still active (e.g., seen within the last 12 months)
- Age Range: The provider prefers to see a certain age group (e.g., pediatric vs. adult)
- Broken Appointment History: Exclude patients who frequently cancel or no-show to protect the slot

Reviewing a Patient's Details
Click on any patient in the results list to open their patient card. From here you can review
everything you need to call the patient and get them scheduled.
• Contact information (phone number, email, last contacted )
• Planned treatment with procedure codes and estimated fees
• Insurance summary carrier name and benefits remaining
• Last visit date and appointment history
• Family members linked to the account - click on family member to pull up
• Communication log including text message history from.
• Office notes any internal notes previously added by your team.
Snooze a Patient
If a patient is not a good fit right now (e.g., on vacation, recently contacted), you can Snooze
them. This temporarily removes them from the results list until the date you choose, keeping
your list clean and relevant.
Add a Note
After a call, use the Add Note feature to log the outcome directly on the patient card. This
ensures the next team member who opens the Opportunity Finder can see what was already
tried.
Scheduling the Appointment
Once you have reached a patient and they agree to come in, you can schedule the appointment
without leaving the Opportunity Finder:
- Select the procedure code(s) to schedule from the patient's treatment plan.
- Choose the available time slot in the operatory.
- Confirm the appointment details.
- The appointment is instantly added to your Open Dental schedule, no manual entry required.
The Opportunity Finder reads directly from your Open Dental database. Any appointment
you create inside Kasper will appear in Open Dental automatically — you do not need to
enter it twice.
