Scheduling Appointments from Kasper Calendar
This article walks through how to schedule appointments directly from your Kasper workspace. Every appointment you create syncs automatically to Open Dental, so your team can manage the schedule from Kasper without needing Open Dental open at the front desk.
- Open slots and blockouts show on the calendar, so you can see exactly what's available and what's blocked off, right in Kasper.
- Schedule for existing or new patients, directly from an open slot.
- Existing patient appointments pull up the patient's treatment plan, so you can schedule straight from planned procedures or add new ones.
- New patient appointments let you enter patient and insurance details on the spot, no need to create the patient in Open Dental first.
- Appointment details (time, provider, operatory) are all editable in the same window before you confirm.
- Tooth numbers and surfaces show on procedures wherever they apply, both on the treatment plan and on the appointment itself.
- Existing appointments can be edited, rescheduled, or broken without leaving Kasper, and can also be moved with a drag and drop on the calendar.
- The same scheduling workflows are available on the Kasper mobile app, so you're not tied to a desktop to manage the schedule.
How it works
1. Find an open slot
Open the Kasper calendar and look for an available slot. Blockouts (shown with diagonal hatching) and existing appointments are visible on the grid, so open time is easy to spot across providers and operatories.
Click any open slot, or use Schedule appointment in the top right to search for the next available opening.

2. Choose existing or new patient
A Schedule for... window opens, showing the date, time, and operatory you selected. From here, choose:
- Existing patient: search by patient name (minimum 2 characters) and select them from the results.
- New patient: enter the patient's information directly, covering both demographic and insurance details.

3. Build the appointment
Once a patient is selected, the full Schedule Appointment window opens with:
- Provider and hygienist dropdowns, defaulted based on the slot you clicked but editable.
- Quick Add buttons for common procedure combinations (for example, PerEx-4BW-Pro-Flo, New Patient Adult, Perio Exam), so frequently used appointment types are one click away.
- Treatment Plan, listing the patient's planned procedures with code, description, tooth number, fee, and time. Check the procedures you want to attach, or use Select All to attach the full plan.
- Add procedure, for attaching a procedure that isn't already on the treatment plan, searchable by CDT code or description. If the procedure requires one, you'll be prompted to select the tooth number (and surface, where applicable) before it's added to the appointment.
- Attached Procedures, showing everything currently attached to this appointment and updating the total time and fee as you add or remove items.

You can also change the date, time, or length of the appointment from this window using Other openings, which opens the same Find an Opening without leaving the scheduling flow.
4. Add notes and confirm
Use the Appointment Notes field for anything the office should know (for example, patient preferences or special instructions). Once everything looks right, click Schedule to confirm.
5. Sync to Open Dental
As soon as the appointment is scheduled in Kasper, it syncs to Open Dental automatically. No manual entry required.
Managing an existing appointment
Click any appointment on the calendar to open its details: date, time, status, patient, provider, procedures, and total fee. From here you can edit procedures, reschedule, or break the appointment, all without leaving Kasper.

Edit procedures
Click Procedures to open the Appointment Procedures window. This shows every procedure currently on the appointment, along with its tooth number and surface where applicable. From here you can:
- Add a procedure by searching CDT code or description.
- Edit the tooth number or surface on an existing procedure using the pencil icon.
- Remove a procedure with the trash icon.

Click Save Procedures to apply your changes.
Reschedule an appointment
Click Reschedule... to open Find an Opening. Set your criteria and Kasper searches for matching openings, grouped by date and time of day. Pick the new slot to move the appointment.
Available filters:
- Length: the duration of the appointment, in minutes.
- Time of day: any time, or narrow to morning, afternoon, or evening.
- Operatory: search any operatory, or narrow to Treatment Ops or Hygiene Ops. You can also select or deselect individual operatories from the full list.
- Provider: search any provider, or narrow to All Dentists or All Hygienists. You can also select or deselect individual providers from the full list.
- Blockout type: search around any blockout, a specific blockout type (for example, Peds Assistant or Prov Work), or choose No Blockouts to only show fully open time.
- Starting from: today, in 3 months, in 6 months, or a custom date.
- Days of the week: limit results to specific days.

You can also reschedule by dragging and dropping the appointment directly on the calendar to a new time, provider, or operatory, without opening any additional windows.
Break an appointment
Click Break Appointment to remove it from the schedule. This frees up the slot and syncs the change back to Open Dental.
On mobile App
These same workflows, scheduling for new and existing patients, editing procedures, rescheduling, and breaking appointments, are also available in the Kasper mobile app. Your team can manage the schedule from a phone or tablet, not just a desktop.
